What to Prepare Before an Insurance Risk Assessment Meeting

An insurance risk assessment is a structured conversation about your responsibilities, existing protection and the losses that could disrupt your plans. Preparing a few documents helps the meeting focus on your situation instead of missing information.

You do not need to understand every insurance term before the meeting. You do need to explain what you own, what you do and what has changed.

Gather your current coverage documents

Bring declarations pages, complete policies when available, endorsements and any recent renewal proposals. Include coverage purchased through an employer, lender, association or online provider if it affects the review. If a document is missing, note who can supply it.

For a business review, also gather insurance requirements in leases and customer contracts. For a family review, include association insurance information when you own a condominium.

List changes and responsibilities

Business owners should note employees, subcontractors, vehicles, locations, equipment, services, revenue changes and technology dependencies. Families should note property changes, new drivers, renovations, rental activity and people who rely on their income.

Describe how the assets are used. A vacation property used by family and a property rented to paying guests deserve different conversations.

Prepare values and recovery questions

Bring available property inventories, equipment schedules and records of important improvements. Consider which bills would continue after a loss and how long recovery might take. Exact values may need additional work; the first meeting can identify what is missing.

Write down your priorities

Choose the concerns you want addressed first. Examples include employee injuries, a lawsuit, a major property loss, interruption of income or a gap between separate policies. Explain your budget and which losses you could realistically absorb.

Useful questions include: What protection already applies? Which assumptions need confirmation? What exclusions matter? What changes should I report during the year?
